Plant Administrative Assistant
What you’ll do:
- Provide administrative and clerical support to management team and department personnel
- Manage calendars, meeting schedules, agendas, and high-level visits.
- Schedule appointments and meetings. Make necessary arrangements for meetings including conference room scheduling, travel assistance, technical support, and catering arrangements.
- Organize presentation materials to ensure that presentation technology and corporate standard upgrades are met.
- Handle internal and external communications within the plant and on company intranet.
- Input and track purchase requisitions.
- Monitor incoming documents, messages, and take action to resolve issues and/or meet other deadlines.
- Maintain inventory and audit employee incentive gift card process.
- Concur – corporate credit card database processor. Processes and audits all purchasing, travel and mileage corporate card reports for plant.
- Manage information and weekly/monthly updates on SharePoint sites.
- Submits and tracks bid requests with external vendors.
- Maintain and update facility organization charts.
- Coordinate project management on remodels and furniture upgrades.
- Coordinate large events: logistics, catering, entertainment, and activities.
- Maintain and update plant wide presentations.
- Order supplies for departments.
- Assist with lean tours.
- Support other Administrators in a variety of duties.
What is required:
- High school education or equivalent.
- Strong ability to engage with employees and customers in a pleasant and professional manner.
- Minimum 3 years administrative experience.
- Must have excellent working knowledge in the applications of: Word, PowerPoint, Excel, and Outlook.
- Must have strong communication skills and strong work ethic, must have a team player attitude, have the drive to follow through on commitments, proved detail-oriented experience, and an ability to prioritize and manage multiple task.
- Must possess strong organizational and project management skills.
- Must have the ability to maintain confidentiality in all circumstances.
